Terms for Participants

These terms apply to anyone who registers for an event through the Turnio platform.

Role of Turnio

Turnio provides the technical registration platform. The event itself is organized and managed by the organizer shown on the event page. Turnio is not the sports organizer, competition judge, federation, venue operator, or safety authority unless explicitly stated.

Registration

By registering for an event, the participant confirms that the information submitted is accurate and complete.

The organizer may reject, correct, or cancel registrations that are incomplete, inaccurate, duplicated, fraudulent, or not compliant with event rules.

Event Rules

By registering, the participant agrees to follow the event rules, organizer instructions, safety rules, check-in procedures, competition regulations, and any applicable archery or federation rules.

Where the event is governed by additional sporting rules, the organizer is responsible for making those rules available to participants.

Transactional Communications

The participant agrees that the organizer and Turnio may send necessary transactional emails related to the event, including registration confirmation, QR code delivery, cancellation information, refund information, schedule changes, and other essential event messages.

These transactional messages are not marketing communications.

No Marketing Consent

Registering for an event does not mean that the participant agrees to receive marketing communications.

The organizer may only send newsletters, promotional emails, sponsor offers, or future-event marketing if the participant has separately provided valid marketing consent.

Start Lists, Results, and Sporting Records

The participant acknowledges that the organizer may publish or retain start lists, attendance information, results, rankings, and historical competition records where this is necessary for the event, sporting transparency, official results, or legitimate archery records.

Cancellation and Refunds

Cancellation and refund rules are defined by the organizer. Turnio may provide technical tools for cancellation or refund workflows, but the organizer is responsible for the event's cancellation policy, refund decisions, and participant communication.

QR Codes and Check-In

Turnio may generate QR codes for participants. QR codes are used for event check-in and registration verification. Participants should not share their QR code with unauthorized persons.

Participant Responsibility

Participants are responsible for their own conduct, equipment, eligibility, and compliance with event rules.

Unless required by applicable law, participation in a sporting event is at the participant's own risk.

Media, Photos, and Promotion

If the organizer wishes to use photos, videos, or participant images for promotion, the organizer must ensure that this is covered by applicable law, event rules, legitimate interest, or separate consent where required.

Turnio does not automatically obtain media or promotional rights from participants merely because they register through the platform.

Organizers
Terms for Organizers

These terms apply to anyone who publishes or manages events on the Turnio platform.

Organizer Responsibility

The organizer is responsible for the event, event content, registration requirements, participant communication, refunds, rules, safety, competition management, and legal compliance.

Turnio provides the technical platform only.

Data Protection Role

For participant registration data, the organizer acts as Data Controller. The organizer decides the purpose of collecting participant data and is responsible for complying with applicable data protection laws.

Turnio acts as Data Processor for registration data processed on behalf of the organizer.

Lawful Use of Participant Data

The organizer may use participant data only for legitimate event administration purposes, including registration, check-in, event communication, competition management, start lists, results, and necessary support.

The organizer must not use participant data for unrelated purposes.

Marketing Restrictions

The organizer must not treat event registration as marketing consent.

The organizer must not send newsletters, sponsor offers, promotional messages, or future-event marketing to participants unless the organizer has obtained separate, explicit, valid consent or has another lawful basis that clearly permits such communication under applicable law.

If the organizer collects marketing consent outside Turnio, the organizer is responsible for proving that the consent is valid.

Data Subject Requests

The organizer is responsible for responding to participant requests for access, correction, deletion, restriction, or objection concerning event registration data.

If a participant contacts Turnio at privacy@turnio.com, Turnio may forward the request to the organizer or assist technically where possible.

The organizer must cooperate with Turnio when a data subject request relates to an event managed by that organizer.

Event Results and Historical Records

The organizer is responsible for deciding whether results, rankings, start lists, or historical competition records should be retained or published.

The organizer must balance participant rights with legitimate sporting purposes, legal obligations, federation rules, and the integrity of competition records.

Accuracy of Event Content

The organizer is responsible for ensuring that all event information is accurate, including event date, venue, rules, pricing, ticket types, categories, divisions, groups, capacity, documents, contact details, cancellation policies, and refund conditions.

Organizer Account Security

The organizer is responsible for keeping account credentials secure and ensuring that only authorized staff access participant data.

Organizer team members must use the platform only for permitted event administration purposes.

Prohibited Data Use

Unless Turnio explicitly supports it and appropriate legal safeguards are in place, organizers must not use the platform to collect unnecessary sensitive data, unrelated personal data, or data that is not needed for the event.

Platform Suspension

Turnio may suspend or restrict organizer access where necessary to protect the platform, prevent misuse, comply with law, investigate security concerns, or respond to misuse of personal data.

Fees and Publishing Codes

Organizers are responsible for platform fees, event publishing codes, and related payment or invoicing obligations according to the applicable pricing terms.

Liability

Turnio is not responsible for the organizer's event operations, safety, refund policy, event cancellation, rule enforcement, venue management, or misuse of participant data by the organizer.

The organizer is responsible for claims arising from the organizer's event, unlawful instructions, misleading event information, missing legal notices, unlawful marketing, or misuse of participant data.

Accidental Access to Other Organizer Data

If an organizer or any member of the organizer's team accidentally gains access to participant data, event data, documents, reports, exports, QR codes, attendee lists, orders, or other information belonging to another organizer, they must immediately stop accessing the data and notify Turnio without undue delay at privacy@turnio.com.

The organizer must not copy, download, export, screenshot, share, publish, modify, delete, use, or otherwise process data that does not belong to them. The organizer must cooperate with Turnio during investigation, containment, correction, audit, or notification activities related to such accidental access.

Important: Failure to report accidental access, or any misuse of data belonging to another organizer, may result in immediate suspension or termination of the organizer account and may be treated as a serious breach of these Terms.

Data Breach and Security Incident Responsibility

The organizer must notify Turnio immediately if they become aware of any actual or suspected security incident, unauthorized access, lost export, leaked attendee list, compromised account, shared password, suspicious login, accidental disclosure, or other issue involving data processed through Turnio.

This includes situations where attendee data is sent to the wrong recipient, exported files are lost, private information is published by mistake, unauthorized staff access the account, or another organizer's data becomes visible.

The organizer must take reasonable steps to reduce the impact of the incident and must cooperate with Turnio in any investigation, correction, audit, or legally required notification process.

Acceptable Use and Organizer Conduct

Organizers must use Turnio in a lawful, respectful, honest, and professional manner. The platform may only be used for legitimate event management, registration, communication, and related administrative purposes.

Organizers must not use Turnio to publish, upload, distribute, or facilitate content or behavior that is unlawful, abusive, discriminatory, misleading, fraudulent, or otherwise inappropriate.

Examples of prohibited conduct include harassment, threats, hate speech, discriminatory behavior, sexually explicit material, fraudulent events, impersonation, spam, unauthorized automated abuse, malicious files, attempts to bypass security controls, and misuse of participant data.

Turnio may remove content, restrict functionality, suspend events, disable organizer accounts, or contact relevant authorities where necessary to protect users, participants, organizers, and the platform.

Respectful Event Management

Organizers are expected to treat participants, clubs, volunteers, judges, staff, spectators, and Turnio support personnel with respect. Organizer communications and event materials should be clear, fair, and professional and must not contain offensive, deceptive, exploitative, or unlawful content.

Responsibility for Organizer Team Members

The organizer is responsible for all actions taken by users, staff, volunteers, or team members who access Turnio under the organizer's account or organizer profile.

The organizer must ensure that each team member has appropriate access and that access is removed promptly when no longer required.

Misuse of Exports and External Files

Where Turnio provides data exports for legitimate competition management purposes, including use in systems such as IANSEO, the organizer is responsible for protecting exported files and sharing them only with authorized persons.

Exported participant data must not be used for unrelated purposes and must not be disclosed publicly unless such disclosure is necessary, lawful, and appropriately protected.

Platform Enforcement

Turnio may investigate suspected violations of these Terms and may temporarily restrict access to events, registrations, exports, documents, or organizer accounts.

Turnio may permanently suspend or terminate access where an organizer seriously violates these Terms, misuses participant data, fails to report a security incident, publishes prohibited content, abuses the platform, or creates legal, security, reputational, or operational risk.

Responsibility for Exported Data and GDPR Requests

When an organizer exports participant data from Turnio, the organizer is responsible for all copies of that data outside the Turnio platform. This includes spreadsheets, CSV files, PDFs, email attachments, printed lists, copied tables, IANSEO import files, and data imported into other systems.

If a participant requests deletion, correction, restriction, or another GDPR-related action, the organizer is responsible for applying that request to all copies and exports controlled by the organizer.

Turnio can assist only with data stored inside the Turnio platform. Turnio is not responsible for deleting, correcting, securing, or managing participant data after the organizer has exported, downloaded, printed, emailed, shared, or imported it into another system.

The organizer must delete or anonymize exported participant data when it is no longer needed, unless retention is legally required or justified for official competition results, accounting, dispute handling, federation requirements, or legitimate historical sporting records.

Organizer Archery Database Responsibility

Turnio may provide tools that allow organizers to create and manage their own archery database, including lists of clubs, archers, registration numbers, names, club associations, categories, divisions, and related competition information.

This organizer archery database is owned and controlled by the organizer. The organizer is the Data Controller for this data and is responsible for ensuring that the data is collected, imported, stored, updated, used, and deleted lawfully.

Turnio acts only as a technical Data Processor for this organizer archery database. Turnio stores and processes the data on behalf of the organizer so that the organizer can manage events, prefill registration forms, validate registration numbers where enabled, and prepare competition administration.

The organizer is responsible for handling data subject requests related to the archery database, including requests for access, correction, deletion, restriction, or objection. If such a request is sent to Turnio, Turnio may forward the request to the organizer or assist technically where possible, but the organizer remains responsible for deciding and executing the appropriate response.

The organizer must not import or store archery database data unless the organizer has a valid legal basis to do so. The organizer must keep the database accurate, up to date, limited to what is necessary, and protected against unauthorized access.

If a participant or archer requests deletion from the organizer archery database, the organizer is responsible for deleting or anonymizing the data where legally possible, including any exported or copied versions controlled by the organizer. Turnio is not responsible for copies of the archery database that the organizer has exported, downloaded, printed, shared, or imported into another system.
